Graduate and Undergraduate Research Funding to Support Scholar Presentation at Professional Conferences: Procedures

Rationale: Graduate and Undergraduate research scholars are encouraged to engage in advanced research in their major and make discipline-related presentations at professional conferences.

Eligible Scholars: The Office of the Provost will contribute research funds to Schools to support registration expenses for graduate and undergraduate scholars who make discipline-related competitions or research presentations, based on advanced work (for credit) in the major field, a capstone experience, and in fulfillment of departmental honors. Advanced research in a course can be eligible for funding for presentations at professional conferences on a case by case basis.

Funding Availability: Graduate and Undergraduate Research funding for first time scholars will range from $500 up to $1,000 — to cover registration expenses and travel to distant locations. Additional funding may be available in the school/department.

Identifying Recipients: Mentoring faculty should send an email recommendation with supporting documentation to the School Dean and to Elfreda V. Blue, Vice Provost of Graduate and Undergraduate Studies in the Provost’s Office. Recommendations for funding will come from the School to the Provost’s office.

Funding Allocation: Upon receipt of recommendations from the Dean’s Office, the Provost’s Office will confirm funding intentions with a letter of award to the Dean, the mentoring faculty member, and the student. Funding from the Dean’s Office should be forwarded to The Provost’s Office for appropriation to named scholars. The Dean’s Office should assemble documents, review, sign off, and send the check requisition and expense report to the Provost’s Office. We will input the budget number and forward for processing.

Expense Reports: Scholars should submit receipts for travel through their faculty mentor to the department or school. The Dean’s Office should forward to the Vice Provost for Graduate and Undergraduate Studies evidence of scholar participation in the conference (i.e., presentation, paper presented at conference, excerpts from conference proceedings which documents presentation date, time, location).

Publication of Research: Scholars are invited to present their research at the Undergraduate Research Day and provide photographs of their research presentation and travel, as possible, to present their research and travel in Hofstra publications (i.e., Hofstra Horizons) and websites.
